How to Write a Move-Out Letter to Give Your Landlord Notice

According to 2024 Zillow research, about one-third of renters moved in the past year. When you want to end your lease, write a move-out letter to your landlord to give them notice that you’re leaving your apartment. In your move-out letter, include your move-out date, rental address, and forwarding information. Getting the details right may help you avoid misunderstandings, support a timely return of your deposit back and avoid penalties. 

Here’s how to write a move-out letter to your landlord:

1. Include your name and contact information

Start by clearly identifying yourself in the letter. Include your full name, the rental address, and a phone number or email where your landlord can contact you for any follow-up. This ensures that your landlord knows exactly who the notice is coming from and how to reach you.

2. Address your landlord or property manager

Address the letter to your landlord or property manager by name. If you’re unsure of their name, a general “To Whom It May Concern” is acceptable, but it’s more personal and professional to use their actual name if possible. This establishes a respectful and direct tone for your notice.

3. Clarify your notice intent 

Clearly state your intent to move out. Include the exact date you plan to vacate the property. You don’t need to provide a reason for your move, but you can if you’d like. This shows your landlord that you are serious and organized about the process. 

For example, “I am writing to inform you that I will be vacating the property on [move-out date].”

4. Reference the lease agreement moving policy

Refer to your lease agreement for the required notice period. Depending on the lease, the notice period typically ranges from 30 to 60 days. Mention that you are complying with this requirement and give specific details from your lease agreement. 

For example, “According to the terms of my lease, I am providing [30/45/60] days’ notice as required.”

Fixed-term lease: Even if you are planning to move out when your lease is up, you should still let the landlord know. Otherwise, the lease may automatically renew or convert to month-to-month. If you do want to renew your lease, you’ll also need to let your landlord know well in advance.

Month-to-month lease: This type of lease usually requires at least 30 days’ notice. Be aware that if your move-out date doesn’t align with your rent schedule, you may still owe rent through the end of the rental period, depending on your lease terms and local laws. For example, if you pay rent on June 1 and give notice on June 15, you may still owe rent through July 31, not just through July 15.

5. Attach final inspection details

Include details about scheduling a final inspection. If you’ve already arranged a walkthrough or received an inspection report, attach it to your letter for reference. If you haven’t scheduled one yet, mention in the letter that you’d like to do so before your move-out date. This will ensure everything is in order before you leave.

6. Provide a forwarding address

According to 2024 Zillow research, among renters who paid a deposit, 40% reported getting their entire deposit back, and 18% said they got most of it returned, which is what makes this step very important!  

Share your forwarding address for the return of your security deposit and any future correspondence. You’ll also want to submit a change of address with the United States Postal Service. This step can be helpful for receiving your deposit and any mail after you move out.  

7. Express any gratitude

Did you enjoy your time living there? Thank your landlord or property manager and express appreciation for the opportunity to reside in the property. Write in a clear, respectful tone, even if you’re breaking the lease early. A polite and grateful tone can help ensure a positive relationship with your landlord and may help if you’re looking to use them as a reference later on. 

8. Recommend a time for returning keys

Offer a specific date or time when you can return the keys. This gives your landlord a clear idea of when to expect the keys back and shows you’re being organized.

9. Sign and date the letter

End the letter with your signature and the date you plan to send it. If you’re hand-delivering the apartment leaving notice, ask your landlord or leasing office to sign and date a copy for your records. If you send it by regular mail or email it, follow up by phone or email to confirm they’ve received it. You can also include a note in the letter asking your landlord to let you know when it arrives. For added peace of mind, consider using certified mail or getting a tracking number.
