The Zillow Premier Agent app and Inbox provide a number of lead management tools to help team leaders and members maintain all the information they need to efficiently follow up on contacts. Contact status and notes are two of the most powerful of these management features, allowing teams to quickly segment leads and capture every step on the way to a transaction.
Tracking a contact's status will give you better visibility into your lead pipeline and help you prioritize your follow-ups. Team leaders also benefit from using this feature because they are able to view the status of leads they have sent to team members. You can update a contact's status from both the desktop Inbox and contacts pages. The status is displayed on the far-right panel beneath the contact's name. Click on the status drop-down to see a list of available statuses and update accordingly.
Once you've assigned your leads a status, you can develop follow-up plans that are tailored to each contact type and set reminders to make sure your team keeps pace with the plan. The table below shows a list of all the possible statuses that can be applied to your contacts and a brief description of what they mean:
Status | Description |
New | The default status for your connections. Assign this lead with a more detailed status as soon as possible. |
Attempted contact | A lead you’re working to contact through phone calls, text and email. |
Spoke with customer | A customer you’re speaking with but haven’t had a chance to meet. |
Appointment set | An appointment has been scheduled with the buyer or seller to meet in-person or virtually. |
Met with customer | A customer that you’ve met either in-person or virtually for a first appointment or tour. |
Showing homes | A customer you're helping tour listings in-person or virtually over multiple appointments. |
Listing agreement | A listing agreement is in place for you to list the home of your seller. |
Active listing | A client that has their home on the market and available for showings. |
Submitting offers | A written offer has been submitted on a property for your client. |
Under contract | Offer accepted! For Flex and ZO referral leads, this status helps us know to reach out to help you with payment steps. |
Sale closed | This transaction has successfully closed. |
Nurture | Apply this status for contacts who aren’t ready to tour homes yet or have slowed their search. |
Rejected | Contacts you’ve determined will never transact and are ineligible to be worked as a lead. |
Notes can be added to create a contact profile. Team members can use this information to share brief updates with their team leader. Notes are accessible by clicking View notes in the far-right column of your contacts list on desktop. You can also add notes in the Zillow Premier Agent app by tapping Add Note from the Contact screen.
